POSITION: FiberMax Center for Discovery Communications and Events Coordinator

Position Summary:

The Communications and Event Coordinator will report directly to the FiberMax Center’s Executive Director (ED) and serves as the public’s first line of contact with our organization.
Manages event rentals, including meeting with prospective renters, contracts and invoicing, planning room set-ups, working with caterers, and booking staff and security.
Coordinates tours for groups and schools, including scheduling volunteers and managing tour rotations.
Responsible for greeting visitors, answering phones, responding to general inquiries, scheduling tours, and scheduling rentals of the Center’s facilities. Provides consistent and excellent customer service to a variety of people to ensure a positive visitor experience.
Responsible for opening and closing the facility and assisting the ED in training volunteers and board members on center operations. Conducts daily walk-throughs and let the ED know when there are any issues or repairs needed.
Provides clerical support including generating invoices, managing mailings, maintaining the membership database through DonorPerfect, ordering supplies, maintaining relationships with vendors and service providers, assisting with meeting preparation, opening and distributing mail, and other related tasks as assigned.
Works with ED to manage Grace’s General Store (reconciling all sales, ordering and tracking inventory, arranging merchandise, and promoting through social media).
Assists ED with tracking all charitable gifts and sponsorships, including sending out membership solicitations, acknowledgments, renewal letters, thank you notes, and event marketing materials.
Working with the ED and Board Executive Committee, plans and attends board meetings, drafts and distributes agendas, prepares board meeting minutes, and related activities. Provides general support to Board and Committee members.
Works with ED to assign work and manage intern staff.
Performs other duties as assigned.

Skill Requirement and Qualifications:

Experience and/or knowledge of agriculture is a plus.
A positive attitude and willingness to learn new skills.
Excellent organizational skills and attention to detail required.
Demonstrated oral and written communication skills required, as this position will contribute to the newsletter and be responsible for writing and sending professional letters and emails.
Excellent computer skills, including Excel, Word, PowerPoint, Outlook, etc.
Ability to handle confidential and sensitive material with discretion.
Professional presence. Diplomatic. Ability to work effectively with diverse staff and volunteers.
Willingness and ability to contribute in all areas of the center’s operations as part of a small nonprofit team.
Ability to multitask, while handling stress and deadlines
Photography and Video experience preferred, but not required.
College degree preferred, but not required.
Tourism experience preferred, but not required.

Working Conditions:

Duties are primarily performed in an office environment at a desk or computer terminal, typically, Monday through Friday, from 9 am to 5 pm, with some evenings, weekends and an occasional holiday required. This position may be on call to troubleshoot exhibit and museum issues on Saturdays. All employees help with museum maintenance, dusting, vacuuming, and sanitizing as needed.
Ability to sit for extended periods of time and the ability to manage repetitive hand/wrist movements while using a computer keyboard and/or the phone.
Ability to bend, squat, and stoop
Ability to lift and/or carry up to 50lbs

Benefits:
