The DOF will oversee the finance and accounting functions of Buddy Holly Hall.  Directly supervising Finance Department employees in the day-to-day functions involved in proper facility accounting. Carries out supervisory responsibilities in accordance with ASM’s policies and applicable laws.  These responsibilities and tasks are coordinated with the General manager, as well as ASM’s Regional Director of Finance. Where applicable, this may include oversight of the Box Office, IT and/or purchasing.

Essential Duties and Responsibilities

  • Assist with sales strategies for private events, and corporate events, including catering functions for local companies.
  • Meet and/or exceed projections, schedules and timelines.
  • Coordinate promotional activities for development of event bookings, including participation in industry expos and sales missions with Visit Lubbock and ASM.
  • Contact prospective user groups and individuals to initiate the sales effort.
  • Follow-up on leads generated by outside sources.
  • Serve as the primary sales lead for booking and managing private events.
  • Act as the main communication liaison between all departments and clients.
  • Upsell various aspects of private events to clients.
  • Prepare and deliver sales presentations to prospective clients and others.
  • Initiate and execute sales contracts, proposals, BEO’s, and agreements.
  • Conduct venue tours for prospective clients and discuss the facility with targeted groups.
  • Manage client databases for prospects and follow-up with clients periodically to assess any future needs.
  • Participate with community and industry related associations, committees, and task forces.
  • Assist with securing corporate sponsorships.
  • Serve as the in-house photographer.
  • Create and develop content for the website, social media, collateral, and signage.
  • Assist with social media programming for TikTok, YouTube, Instagram, Facebook, and LinkedIn.
  • Manage and oversee the education and partners coordinator.
  • May perform other duties as assigned.

 

Qualifications

  • Organize and prioritize work to meet deadlines.
  • Demonstrate knowledge of principles, practices and terminology of sales, sales presentation techniques, and operations of trade shows, meetings, conventions and events.
  • Maintain an effective working relationship with clients, employees, exhibitors, patrons, and local hospitality industry and others encountered in the course of employment.
  • Previous experience in sales, food and beverage, and/or event coordination.
  • Proficiency in photography and photo editing
  • Experience with social media platforms and content creation
  • Ability to work extended and/or irregular hours that may vary due to functions, including day, evening, weekends and holidays as needed.

 

Education and/or Experience

Bachelor’s Degree from an accredited four (4) year college of university

Two (2) years related experience and/or training; or an equivalent combination of education or experience.

 

Skills and Abilities

  • Follow oral and written instructions and communicate effectively with others in both oral and written form.
  • Work independently, exercising judgment and initiative.
  • Remain flexible and adjust to situations as they occur.
  • Computer Skills
  • Operate a personal computer using Windows, Word, Excel, booking software, Canva, Video/photo editing software, Outlook, and other standard office equipment.
