Job summary
This position is the key contact for meeting planners when coordinating events at the Overton. Responsible for ensuring all requirements of the group are met. May direct or supervise convention services and food and beverage departments for meetings.

The incumbent is authorized to take reasonable action necessary to carry out assigned duties and responsibilities, provided such action is consistent with position guidelines as outlined below or through the exercise of sound, reasonable judgment and initiative in the performance of job responsibilities.

Position guidelines include, but are not limited to, established company and department policies and procedures and all supervisory directives.
Summary of essential job functions
1. Take incoming calls for catering functions, sell catering only and detail all events
2. Assist guests in a pleasant and professional manner
3. Produce and manage Banquet Event Orders (BEO’s) as the information is received
4. Key contact with the meeting planner upon his/ her arrival at the hotel.
5. Ensures all aspects of the meeting are delivered as per contract and to the satisfaction of the meeting planner.
6. Ensures all meetings are properly setup at least one hour prior to the event, according to the contract.
7. Responsible for ensuring the timely delivery of all coffee breaks, food and beverage functions, audio visual needs, group transportation, billing instructions and other special requirements of the group. Assist F&B staff (outlets and banquets) with any and all tasks.
8. In the pre-event planning process, consult with the meeting planner to identify optimal meeting room configuration, recommendations on meeting/break flow, recommendations on food and beverage options to improve meeting efficiency and productivity.
9. Participate in conducting BEO meetings to ensure that all events are being correctly serviced
10. Meets with each meeting planner daily to debrief on daily events, review consumption, bill and review exceptions to the contracted billing and review estimates of final billing.
11. Work closely to the sales department, and communicate with other department directors
12. Assist Manager in the direction and supervision of food servers, bartenders, room service, and other staff in reference to schedules, service standards, training, motivation, and safety
13. Immediately resolve issues, concerns or complaints to the meeting planner’s satisfaction.
14. Interact with guests to determine needs, satisfaction, and resolve conflicts
15. Help uphold and enforce all COVID SOP’s to guests and staff daily or as needed.

Educational/Experience Requirements
1. Minimum formal education level or equivalent necessary to perform this job.
Bachelor’s degree in related field or equivalent experience in Sales and Marketing, Meeting Planning in the hospitality industry or related experience.
2. Minimum prior job related experience necessary to perform this job. At least three years’ experience in meeting planning, setup and execution of meetings.
3. Minimum technical knowledge and skills necessary for this position.
4. Minimum number of years responsible for coordinating, supervising, and/or managing other’s work.
At least two years’ experience managing and motivating others.
5. Indicate the demonstrated verbal and written communication skills necessary to perform this position.
6. Strong oral and written communication skills.
7. Strong customer service skills.
Abilities Required
1. Ability to read, listen, and communicate effectively in English, both verbally and in writing
2. Ability to effectively deal with internal and external customers and staff, some of whom will require high levels of patience, tact, and diplomacy to diffuse anger, collect accurate information, and resolve conflicts
3. Knowledge of the travel industry, current market trends, and economic factors
4. Computer skills to include working knowledge of Windows operating system and Microsoft Office/ Delphi programs
5. Ability to stand and move throughout the hotel property while continuously performing essential job functions
